Professional profiles

ITM Platform calculates the costs of tasks and projects based on the professional profiles (categories) and at standard costs and rates.

ITM Platform employs a classification of professional profiles. To assign a user to a task or activity they must have been assigned to at least one position within the organization which will in turn link them to a profile.

From the ORGANIZATION menu, select Category And Rates 1 and add a new category:

The only required detail which you must provide is the Category Name 2.

This allows ITM Platform to calculate the cost estimates and actual costs based on the professional profile the individual belongs to.

The recommendation is to use profiles known to the organization, or otherwise profiles accepted in the profession. For example, in the case of IT this could be engineeranalystmarketing technician, etc.

 

Standard costs

ITM Platform calculates the costs of tasks and projects based on the professional profiles and at standard costs and rates, and can distinguish costs according to the following types: global standard cost and cost by profile or category.

Go to the menu ORGANIZATIONCOSTING option, and select Category And Rates. On Global Standard Cost 1 indicates the cost types if neither the working team nor the corresponding professional profile has been defined.

In the section Categories Standard Cost 2 the standard costs are created for internal personnel.

The following layout shows how costs are defined and used in ITM Platform.

Organizational units

Organizational units

The organizational units represent the internal structure of an organization and will help you define the working groups for your projects.

From the CONFIGURATION menu click on ORGANIZATION and the section Organization Units 1 to create a new unit 2:

Enter the Unit Name 3 as the only required detail you must provide. Next, associate the users who will belong to the unit.

Processes

ITM Platform can reflect organizational processes with the layout Value chain > Activity > Process. This layout is not required unless the organization is structured in this way.

More than one Value Chain can be defined, containing one or several Activities, and in turn for each activity the specific Processes into which the organizational structure is divided. With this structure projects can be assigned to the different processes, along with an analysis of how the activity of one department affects other processes of the organization.

From the menu ORGANIZATION, in the section Business Processes 1, add the value chain 2, and in turn the corresponding activities and processes.

Workgroups can link users together in a way which is different from the organizational structure. For example, a group could be “Enhancement Team” or “Evaluation Committee”.

Groups

From the CONFIGURATION menu go to the Work Groups section and add the group 1:

The Work Group Name 2 is the only required detail you must provide. You can then add the users who will belong to the group, along with additional information to help improve administration.

Users can belong to several work groups but only belong to one unit of the organizational structure.

Documentation

Each project and task may have associated documents available to team members. Select the project 1to which you wish to attach files and in the Docs 2 section add files from your local folder.

You can also link an external URL address if a specific document system already exists or you wish to refer to an existing page.

You can also attach documents to a project task by selecting the task and using the Docs 3 section to add files in the same way as for a project.

Identify and manage risks

ITM Platform serves to identify and manage project risks, in other words possible events which would have a negative impact on the project if they were to occur.

Risk management is divided into identification and initial classification, generation of mitigation plans (or probability reduction) and contingency plans (or impact reduction). A supervisor can in turn be assigned to manage each of the risks identified.

Go to the menu CONFIGURATION and click on Risk Settings within the PARAMETERS section.

Configure the risk parameters such as the Risk Level 1 to adjust the levels to appropriate values for your organization’s needs, along with the status and type of risk. However, ITM Platform offers preset values which you can modify.
