User Management in ITM Platform
Users management can be found in the main menu: ORGANIZATION > USER MANAGEMENT > USERS.
User List
The user list in ITM Platform, like most entity lists, allows you to: - Filter users - Select and customize displayed columns - Create new users - Invite users - Export the list to Excel - Deactivate or reactivate users
Once created, users cannot be permanently deleted. Instead, they are deactivated to preserve their activity history within the system.
Personal Section
In this section, you can enter relevant user details such as: - Name - Address - Language - Assigned Roles (Users can have multiple roles) - No-login User Checkbox: Prevents the user from logging in while ensuring they do not consume a license. This is useful for resources that do not require system access or for devices controlled via ITM Platform. - Standard Working Hours: Determines the daily working hours for the user. - Non-billing Hours Option: Allows users to log non-billable hours, which is useful for companies that differentiate between billable and non-billable reported time.
Education Section
Allows you to record various training programs and educational qualifications for the user.
Position Section
Defines the user’s position within the organization, impacting their cost and billing rate. You can configure: - Employment Type: Employee or provider - Professional Category - Current Position/Title - Start Date: Determines the hourly cost for the user, affecting task cost calculations based on the rate applicable at the time of estimated or reported hours.
Calendar Section
Each user has two initial assigned calendars: 1. Default Organization Calendar: Defined in the User Management Calendars section. 2. Personal Calendar: Includes user-specific holidays and leaves.
You can also assign additional account calendars, such as regional holiday calendars. Assigned calendars affect non-working days, impacting availability, effort estimation, and hour distribution. When a calendar is added or modified, ITM Platform recalculates the user's task effort distribution accordingly.
User Access
The signup process differs depending on whether a user is created or invited. In all cases, users receive their credentials via email.
- If Single Sign-On (SSO) is enabled, users must first be created in ITM Platform before they can access the system via SSO.
