Mass Copying Purchases
ITM Platform allows you to perform operations on a group of project purchases by navigating to the purchases section and selecting the purchases you require. To make a selection, tick the checkbox to the left of each purchase.
As soon as you start selecting purchases, the total count appears at the bottom of the list, and three options are enabled:
- Copy: Copies the selected purchases to another project. You can also choose to include tasks related to the copied purchases. See the section on copying purchases for details.
- Edit: Allows editing several fields of the selected purchases in a mass update process. More information is provided in the next section.
- Delete: Deletes all selected purchases. ITM Platform will ask for confirmation before proceeding.
Copying Purchases
Clicking the “Copy” option opens a pop-up showing how many purchases will be copied.
Clicking “See which” displays a list of the selected purchases. The pop-up also allows setting several options that will be applied when copying the purchases:
- Destination Project: Select the target project from a dropdown list of all available projects. You can filter the list by typing into the field.
- Dates: Automatically adjust due dates based on the difference in start dates between the origin and destination projects.
- Status: Select the status to apply to the copied purchases or choose “Keep Current” to retain the original status.
- Include Descriptions: Copies purchase descriptions.
- Include Documents: Copies associated documents.
- Include Custom Field Values: Copies custom field values.
- Include Provider: Copies the provider information.
- Include Projected Amount: Copies the projected amount. You can either copy the amounts as-is or apply a percentage multiplier.
- Include Purchase Number: Copies the purchase number.
- Include Actual Amount: Copies the actual amount. You can either copy the amounts as-is or apply a percentage multiplier.
- Include Related Tasks: Copies tasks related to the selected purchases. See the “Include Related Tasks” section for more details.
Click “Next” to proceed once you’ve configured the options. ITM Platform provides a summary of the purchases to be copied, along with any warnings.
If warnings appear, you can cancel to address them by adding or modifying purchases, or proceed to copy them. Once confirmed, the copied purchases may take up to a minute to appear in the destination project.
Including Related Tasks in Purchases
Selecting this option copies the tasks associated with the purchases. Additional options are displayed for configuration:
- Dates: Automatically adjust task dates based on the difference in start dates between the origin and destination projects.
- Status: Select the status to apply to the copied tasks or choose “Keep Current.”
- Priority: Set a priority for the copied tasks or choose “Keep Current.”
- Type: Specify the type for the copied tasks or choose “Keep Current.”
- Include Descriptions: Copies task descriptions.
- Include Documents: Copies associated documents.
- Include Custom Field Values: Copies custom field values.
- Include Dependencies: Copies relations between predecessor and dependent tasks. Dependencies can only be copied if both tasks are included in the selection.
- Include Task Members: Copies assigned task members. Additional options appear when this is selected.
- Assign Team Members to Destination Project: Automatically adds task members to the destination project if they are assigned to one or more copied tasks. If this option is unselected, task members who are not part of the destination project team will not be included.
