How to Manage Project Visibility in the Timesheet

ITM Platform allows you to control which projects are visible in users' timesheets. This feature is useful for two main scenarios:

  • Hide projects that do not require time tracking: You can hide internal, agile, or administrative projects to simplify the timesheet view and prevent confusion.
  • Keep closed projects visible: You can ensure that finished projects still appear in the timesheet (in read-only mode) so users can review previously reported hours.

Visibility can be managed in two ways: at the project status level (to apply a general rule) and at the individual project level (to handle exceptions).

1. Visibility Configuration by Project Status

This is the primary way to manage visibility. When you configure a status, all projects in that status will automatically inherit the rule.

Follow these steps:

  1. Go to Configuration > Parameters > Project Statuses.
  2. Select the status you want to configure (e.g., "Scrum" or "Closed").
  3. Look for the new option called "Show in timesheet".
  4. Check or uncheck the box according to your needs:
    • Checked: Projects in this status will appear in the timesheet.
    • Unchecked: Projects in this status will be hidden.
  5. Save the changes.

2. Overriding the Configuration for a Specific Project

If you need a specific project to behave differently from its status rule, you can manually override the setting.

Follow these steps:

  1. Open the project you want to configure.
  2. In the 'General' tab, click on the project's current status to open the management window.

  3. Inside the window that opens, you will find the new 'Show in timesheet' dropdown.

  4. Select the option you need:

    • Inherit from status: The project will follow the rule defined by its current status (default option).
    • Always show: The project will always be visible in the timesheet, regardless of its status configuration.
    • Always hide: The project will always be hidden from the timesheet.
  5. Save the changes.

Important note: The "Always hide" option will not be available if the project's status has time tracking enabled. This is to prevent a project where hours can be reported from being hidden by mistake.

With this feature, you will gain full control over the information displayed in timesheets, adapting the tool to the specific needs of your organization.
